Event Submission Guide

Welcome to the Event Submission Guide for SF Climate Week 2027! We’re excited to have you join us as an event organizer and contribute to SF Climate Week 2027’s vibrant climate ecosystem.

The following guide walks you through how to add your event to the centralized SF Climate Week 2027 calendar. To be included, your event must meet specific criteria and follow our submission process outlined in this guide.

Note: By submitting an event for SF Climate Week 2027, you agree to our Community Policy and event eligibility criteria. Any collection and use of your personal information for newsletters or other communications by Climatebase and the Climate Week Network is handled separately and only with your affirmative consent through the optional consent form, in accordance with SF Climate Week 2027’s Privacy Policy and Climatebase’s Privacy Policy.

This guide covers:

  • Criteria for adding your event to the SF Climate Week 2027 calendar
  • How to add an event to the SF Climate Week 2027 calendar
  • Required registration questions
  • Submitting the Event Organizer Form

Criteria for adding events to the SF Climate Week 2027 calendar

To be included on the SF Climate Week 2027 calendar, your event must:

  • Fall within the dates of SF Climate Week 2027
  • Bring people together in the city (or online)
  • Use Luma for your event registration page
  • Add SF Climate Week 2027 as a co-host of your event registration page on Luma
  • Include the required registrant questions (see below) for your attendees to answer when registering for your event
  • Include the boilerplate SF Climate Week 2027 Registrant Information Sharing disclaimer

After submitting your event to the SF Climate Week 2027 calendar, please complete the required Event Organizer Form. This allows our team to further amplify your event and maximize its visibility within the SF Climate Week 2027 community.

How to Add your Event to the Calendar

Data note: Climatebase collects only event-level information about your event and does not access attendee or registrant data. Any personal information used for newsletters or other communications is collected only where you have provided it and affirmatively consented through the optional consent form. Climatebase uses such information as an independent recipient for its own purposes and not as the event organizer’s service provider.

Step 1: Create your Event Page

  1. Go to the SF Climate Week 2027 calendar on Luma: https://luma.com/sfcw2027
  2. Click on ‘Submit Event’ on the page and add your event.
  3. Please select one of the first two options shown:
    1. Create New Event: You can create an event directly from this page.
    2. Submit Existing Luma Event: If you have already created an event page on Luma, you can paste in the event URL to submit it to the calendar.
      • Note: Please do not select the third option, “Submit External Event.” We require all event organizers to use Luma, as this allows the SF Climate Week 2027 team to send announcements and critical reminders before and during SF Climate Week 2027 to all event registrants.
  4. Event visibility: Please make sure your event’s visibility is set to Public. This ensures that your event is able to be added to the public calendars.

Step 2: Set up your event registration

As an event organizer, you have flexibility in how you set up registration for your event on Luma. You can choose from the following options based on your event’s goals, audience, and capacity:

  • Open Registration – This option allows anyone to register for your event without requiring approval. This is ideal for events that are open to the public, encourage broad participation, and do not have strict attendee limits.
  • Approval-Based Registration – With this option, attendees must request to join, and you as the organizer will have the ability to review and approve or decline registrations. This is a great option for curated or invite-only events where you want to ensure a specific type of audience or maintain a controlled attendee experience.
  • Paid Ticketing – If you’d like to charge for attendance, Luma allows you to set a ticket price for your event. This can be useful for covering event costs, ensuring commitment from attendees, or fundraising for a cause. You can also combine this option with approval-based registration if needed.

Include the boilerplate SF Climate Week 2027 registrant information sharing disclaimer at the bottom of your event description:

“By registering for this event, you agree to share your registration information with the organizers of SF Climate Week 2027 — Climatebase”

Step 3: Add the required attendee questions

Note: Attendee responses to these questions remain within your Luma event and are managed by you as the event organizer. Climatebase does not collect or store attendee or registrant data.

In order for your event to be included on the SF Climate Week 2027 calendar, you are required to include the following questions in your event registration form. You must use the same wording for the questions as shown:

  • “What is your job title?” (required; free response)
  • “What organization do you work for?” (required; free response)
  • “What is your LinkedIn URL?” (required; free response)
  • “What city and country are you from?” (required; free response)

Once you’re ready, submit your event!

Step 4: Submit the event organizer form

After submitting your event to the SF Climate Week 2027 calendar, please complete the required Event Organizer Form.

Completing this form allows you to:

  • Select event tags that will be used as filters on the public calendar.
  • Provide additional marketing details and assets to help us promote your event.
  • Review and agree to the required terms and policies.

After you submit the form, our team will review your event for approval. Your event will appear on the public calendar once it’s approved and the SF Climate Week 2027 calendar officially launches.
